Why Packing Office Equipment Correctly Matters

Incorrect packing of office equipment is the single most preventable cause of damage during office moves in Dubai. Computers, servers, printers and monitors are expensive, often irreplaceable items that require specific packing techniques to survive transit safely.

Packing Computers and Workstations

• Back up all data before any hardware is moved — this is non-negotiable
• Original boxes are ideal — keep packaging from new equipment purchases specifically for this purpose
• Without original boxes: wrap in anti-static bubble wrap, then place in a double-walled cardboard box with at least 5cm of foam padding on all sides
• Mark all cables before disconnecting — photograph the back of the PC and server before unplugging
• Pack cables in labelled zip-lock bags and tape them to the relevant device
• Never place anything on top of packed workstations in the moving vehicle

Packing Monitors and Screens

Monitors are among the most damage-prone items in an office move. Correct packing:

• Original packaging is strongly preferred
• Without original boxes: wrap in foam then bubble wrap, place in a box slightly larger than the monitor with foam corners
• Mark the box clearly — "FRAGILE — THIS SIDE UP — SCREEN" on all sides
• Never stack monitor boxes
• Transport monitors standing upright, never flat

Packing Servers and Network Equipment

• Servers must be shut down cleanly through the operating system — never just powered off
• Rails should be removed from server rack units where possible
• Anti-static packaging is essential for all server hardware
• Server racks should be moved in a vertical position where possible
• UPS units must be moved separately from servers due to their weight

Packing Printers and Multifunction Devices

• Remove all paper, toner cartridges and drum units before moving
• Lock all moving parts using the transport locks (consult manual)
• Wrap in moving blankets and secure with stretch wrap
• Label which side is up and mark as fragile

Packing Phones and Handsets

• Photograph your phone system configuration before disconnecting anything
• Label each handset with its extension number
• Pack phones in bubble wrap in small boxes — do not mix with other items
• Keep all patch cables labelled and organised
